How do I set grace periods for tasks and how are they displayed?

You have the option to set grace periods for tasks that have already been published. This can be useful if you have rejected a task with the status “For review” and now want to give the person responsible more time to complete the task.


Note: To use this feature, you must be the creator of the task. Alternatively, the task was created by someone in your organization and has been shared organization-wide.


  1. Adding a grace period when editing a task:

  • Editing a task in the task list:


In the open task, click the + 1. Add grace period button.



The calendar will open. Select the desired date (1.) for the first grace period with a click, and then click the Save button (2.).



The task's due date has been updated based on your selection.


Task View:


In the task view, the task's original due date is now crossed out, and the date of the first grace period is visible (area highlighted in yellow).



Log view:


If you edit a task directly in the log and set a grace period, the task's original due date will now be displayed as crossed out, and the date of the first grace period will be visible (the area highlighted in yellow).



Inspection view:


If you edit a defect in an inspection again and set an grace period, the original due date for the defect will now be crossed out, and the date of the first grace period will be displayed (area highlighted in yellow).



  1. Adding a grace period when rejecting a task:


Process: You have created a task for Person B. Person B works on the task and sets the status to “For review.” You then set the task's status in the task list to “Rejected” because, for example, something is missing and you want to give Person B more time to complete the task.


As soon as you set the task status to “Rejected,” a new window opens. You can now choose whether you want to edit the due date (area highlighted in yellow), set a first grace period (1.), or take no action (2.). After making your selection, click the Save button (3.).



  1. View of grace periods for exports:


  • Exporting logs in PDF and Word formats: The original due date is displayed as crossed out, and the previously defined grace period appears in the export as the new date in the “Appointment” column (area highlighted in yellow).



  • Exporting tasks in PDF and Word formats: The original due date under “Due on” is displayed as crossed out, and the previously defined grace period is shown in the export as “1. Grace period” (area highlighted in yellow).



  • Exporting tasks in CSV format: The grace period defined previously is displayed in the export as a date in the “To Do On/Done On” column (area highlighted in yellow).



  • Exporting tasks in BCF format: When exporting in BCF format, the previously defined grace period is exported as the due date.
  • Exporting inspections in PDF and Word formats: The previously defined grace period is displayed in the export as the date under “Due on” (area highlighted in yellow).
